Privacy Policy

Kaligraf Design collects and processes personal data only in connection with delivering creative services and operating this website. This policy describes what data is collected, how it is used, and the rights available to individuals whose data we hold.

Data we collect

When you submit the project brief form at /start, we receive the information you provide: your name, company or studio name, email address, city and country, project description, and your selected scope, timeline, and investment range. This information is used solely to respond to your enquiry and to determine whether the project is a fit for the studio.

When you visit this website, standard server logs may record your IP address, browser type, and pages accessed. These logs are used for security and performance monitoring and are not used to build individual visitor profiles.

How we use your data

To respond to project enquiries submitted via the contact form.
To maintain communication during an active client engagement.
To comply with applicable legal obligations.

We do not sell, rent, or share personal data with third parties for marketing purposes. If a project proceeds to engagement, contact details may be stored in an internal project management system. No automated decision-making is applied to enquiry data.

Data retention

Enquiry data from the contact form is retained for a reasonable period to allow follow-up and then deleted. Data related to completed client engagements is retained for the duration required by applicable accounting and tax obligations (typically five to seven years). You may request deletion of your data at any time — see Your Rights below.

Your rights

Under the General Data Protection Regulation (GDPR), you have the right to access, correct, or request deletion of any personal data we hold about you. Cookie Policy

This website uses a minimal set of cookies necessary for the site to function. No third-party advertising or tracking cookies are set. No analytics platform that stores personal data is currently in use on this site.

Cookies in use

Session state: A session cookie may be set to maintain language preference across pages. This cookie contains no personal data and expires when the browser session ends.
Security: A CSRF protection token may be set when form submissions are made. This cookie contains no personal data and expires at the end of the session.

Third-party cookies

If you use the calendar booking link on the Start a Project page, you will be directed to a third-party scheduling service. That service may set its own cookies on its domain. Those cookies are governed by that service's own privacy policy, not this one.

Google Fonts are loaded from Google's servers. Google may set cookies or record access logs as part of this delivery. See Google's Privacy Policy for details. To avoid this, fonts can be self-hosted — see the site's technical documentation.

Managing cookies

You can control and delete cookies through your browser settings. Blocking session cookies may affect the language switcher functionality on this site but will not prevent you from accessing any content.

Terms of Engagement

These terms apply to creative services provided by Kaligraf Design to clients. Submission of a project brief or commencement of paid work constitutes acceptance of these terms.

Project commencement

Work begins when both parties have agreed on scope, timeline, and fee in writing, and when the first payment milestone has been received. Kaligraf Design does not begin work on the basis of verbal agreements alone.

Intellectual property

All creative work produced by Kaligraf Design remains the intellectual property of Kaligraf Design until full payment has been received. Upon receipt of full payment, agreed deliverables and their associated rights transfer to the client as specified in the project agreement.

Source files, project working files, and assets not included in the agreed deliverable set remain the property of Kaligraf Design unless explicitly negotiated otherwise.

Kaligraf Design retains the right to display completed work in its portfolio unless the client requests confidentiality in writing and this request is agreed to at the time of project commencement.

Payment

Payment terms are agreed per project. Typical structures include a 50% deposit before commencement and 50% upon delivery of final files. For retainer engagements, monthly invoicing is standard. Late payment beyond 30 days may result in work pausing until the account is current.

Revisions and scope

Each project proposal specifies the number of revision rounds included. Revisions outside the agreed scope, or requests that materially change the brief after work has begun, are subject to a separate fee agreement.

Confidentiality

Kaligraf Design treats all client briefs, business information, and project materials as confidential. Information shared in the course of an engagement is not shared with third parties except where required to fulfil the agreed scope (e.g., a print supplier or hosting provider) or required by law.

Limitation of liability

Kaligraf Design's liability in connection with any project is limited to the total fees paid by the client for that project. Kaligraf Design is not liable for indirect, consequential, or incidental losses. Nothing in these terms limits liability for fraud or personal injury caused by negligence.

Governing law

These terms are governed by the laws of Poland. Any disputes arising from a project engagement will be subject to the jurisdiction of the Polish courts, unless both parties agree to an alternative resolution process.

Kaligraf Design processes personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (GDPR) and its implementation in Polish law (RODO — Rozporządzenie o Ochronie Danych Osobowych).

Legal basis for processing

Personal data submitted via the contact form is processed on the basis of legitimate interest (responding to an enquiry) and, where an engagement follows, on the basis of contractual necessity. Data is not processed on the basis of consent; you are not required to opt in to receive a reply to a project enquiry.

Data subject rights (GDPR Article 15–22)

Right of access — you may request a copy of the personal data we hold about you.
Right to rectification — you may request correction of inaccurate or incomplete data.
Right to erasure — you may request deletion of your data, subject to legal retention obligations.
Right to restrict processing — you may request that we limit how your data is used.
Right to data portability — you may request your data in a portable format.
Right to object — you may object to processing based on legitimate interest.

International transfers

If project work involves clients or suppliers outside the European Economic Area, personal data may be processed in countries with different data protection standards. In such cases, appropriate safeguards (including standard contractual clauses where applicable) are used.
